Admin Manager – Salt Unit

Job Summary

Ghani Mines is seeking an experienced and proactive Admin Manager to oversee the complete administrative operations of its Salt Manufacturing Unit in Qaidabad. The role will be responsible for ensuring smooth and efficient site administration, workforce coordination, facility management, security, transportation, utilities, housekeeping, vendor management, and employee welfare.

The ideal candidate should have strong experience in industrial/site administration, preferably within a salt manufacturing, mining, manufacturing, processing, or other industrial environment, with the ability to manage administrative operations in a plant-based setting.

Key Responsibilities1. Plant & Site Administration

  • Oversee the day-to-day administrative operations of the Salt Manufacturing Unit in Qaidabad.
  • Ensure effective administrative support for plant production and operational activities.
  • Develop and implement administrative systems, procedures, and controls in accordance with company policies.
  • Maintain proper records of administrative activities, assets, facilities, vehicles, vendors, and services.
  • Conduct regular site inspections and identify administrative requirements or operational gaps.
  • Prepare periodic administrative reports and provide updates to senior management.

2. Workforce & Labor Management

  • Coordinate with HR and plant management regarding manpower planning, deployment, attendance, shift schedules, and workforce requirements.
  • Supervise timekeeping, attendance, absenteeism, and labor deployment.
  • Coordinate with contractors and labor suppliers for manpower requirements.
  • Ensure proper discipline and compliance with company policies among employees, workers, and contractors.
  • Address routine workforce-related administrative matters and coordinate with HR for employee grievances or disciplinary issues.

3. Accommodation & Employee Welfare

  • Manage accommodation facilities for employees, workers, and visiting staff, where applicable.
  • Ensure proper cleanliness, hygiene, maintenance, and discipline of residential/camp facilities.
  • Supervise housekeeping, cafeteria/mess, cooks, and other support staff.
  • Ensure availability of essential facilities including water, electricity, sanitation, and other utilities.
  • Monitor food and catering arrangements and ensure appropriate quality and hygiene standards.
  • Support employee welfare initiatives at the plant/site.

4. Transport & Vehicle Management

  • Manage transportation arrangements for employees, workers, management, and visitors.
  • Coordinate company vehicles, drivers, routes, fuel, maintenance, and vehicle scheduling.
  • Maintain records of vehicle utilization, fuel consumption, repairs, and maintenance.
  • Ensure timely transportation for employees, official visits, and plant-related requirements.
  • Monitor compliance with company procedures for vehicle usage.

5. Security Management

  • Oversee security arrangements for the salt plant, offices, warehouses, stores, accommodation, and other company facilities.
  • Supervise security personnel and ensure effective deployment.
  • Implement access-control procedures for employees, contractors, visitors, and vehicles.
  • Monitor security incidents and report any concerns to management.
  • Coordinate with local police and relevant authorities whenever required.
  • Ensure protection of company assets, machinery, raw materials, finished products, vehicles, and facilities.

6. Utilities & Facility Management

  • Ensure uninterrupted availability of essential administrative utilities including electricity, water, diesel generators, fuel, sanitation, and communication facilities.
  • Coordinate maintenance and repair of offices, staff facilities, accommodation, canteen, and other administrative infrastructure.
  • Liaise with the Maintenance/Engineering department for facility-related issues.
  • Monitor cleanliness, safety, and overall condition of administrative areas.
  • Ensure timely resolution of facility and infrastructure-related issues.

7. Vendor & Contractor Management

  • Manage relationships with local vendors, contractors, and service providers for administrative requirements.
  • Obtain quotations and coordinate administrative purchases in accordance with company procedures.
  • Negotiate rates and service agreements where required.
  • Monitor vendor performance and ensure timely delivery of services.
  • Maintain proper documentation of quotations, contracts, invoices, and administrative expenses.
  • Coordinate with Procurement and Finance departments for administrative purchases and payments.

8. Plant Support & Logistics Coordination

  • Provide administrative and logistical support to plant operations whenever required.
  • Coordinate movement and arrangements for employees, visitors, contractors, and official guests.
  • Facilitate administrative requirements for production, maintenance, warehouse, and other plant departments.
  • Coordinate arrangements for inspections, meetings, training sessions, and official visits.
  • Ensure availability of required administrative supplies and services for uninterrupted plant operations.

9. Government & Local Authority Coordination

  • Coordinate with relevant government departments, local authorities, police, and other regulatory bodies regarding administrative matters.
  • Maintain professional relationships with local stakeholders and community representatives.
  • Assist management with official correspondence, inspections, permissions, and other administrative requirements.
  • Handle local administrative matters and escalate important issues to senior management.

10. HSE, Hygiene & Compliance Support

  • Coordinate with the HSE department to ensure administrative facilities comply with company safety and hygiene standards.
  • Ensure proper housekeeping, sanitation, drinking water, accommodation, cafeteria, and welfare arrangements.
  • Support the implementation of company policies related to workplace discipline, safety, and employee welfare.
  • Report administrative or safety concerns to management promptly.
  • Ensure administrative activities comply with applicable company policies and statutory requirements.

11. Team Management

  • Lead and supervise the site administration and support staff.
  • Manage administrative personnel, housekeeping staff, security guards, drivers, and other support services.
  • Allocate duties and monitor performance of administrative staff.
  • Ensure effective utilization of administrative manpower and resources.
  • Coordinate closely with HR, Production, Maintenance, Procurement, Finance, Warehouse, and HSE departments.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 8–10 years of relevant experience in administration.
  • Experience in a manufacturing, salt processing, mining, industrial, plant, or production environment will be highly preferred.
  • Strong experience in plant/site administration, labor management, facility management, transport, security, utilities, accommodation, and vendor management.
  • Experience managing administration in a plant or remote/field-based environment will be an advantage.
  • Strong leadership, communication, negotiation, and problem-solving skills.
  • Good command of MS Office, particularly Word and Excel.
  • Ability to manage multiple administrative functions in a fast-paced industrial environment.
  • Strong interpersonal skills with the ability to coordinate with employees, workers, contractors, vendors, government officials, and local stakeholders.
  • Must be proactive, disciplined, responsible, and capable of working independently at a plant/site location.
