Full job description
SysMD is a healthcare revenue cycle management and medical billing company serving healthcare providers and medical practices in the United States. Our dedicated team of healthcare professionals and revenue cycle specialists works to support medical practices with efficient billing, claims management, coding, accounts receivable recovery, credentialing, and other healthcare administrative services. We are seeking a Cold Caller with at least 1 year of hands-on experience in outbound calling, international client communication, and appointment setting to join our team.
Job Responsibilities:
1. Outbound Calling on Qualified Leads
- Contact qualified and relevant healthcare leads provided by the Lead Generation team.
- Make outbound calls to potential U.S.-based healthcare providers, physicians, medical practices, clinics, and other relevant healthcare organizations to introduce SysMD and its medical billing and revenue cycle management services.
- Follow assigned calling lists, campaign instructions, lead notes, target specialties, and calling priorities.
- Ensure all calls are handled professionally, confidently, and in clear, fluent English.
- Focus on engaging prospects, creating initial interest, and identifying genuine business opportunities for SysMD.
2. Sales Pitch and Service Positioning
- Present SysMD's services in a clear, concise, and business-focused manner according to the prospect's medical specialty, practice type, needs, and pain points.
- Explain how SysMD can support healthcare providers through medical billing, medical coding, claims management, denial management, payment posting, accounts receivable follow-up and recovery, credentialing, insurance eligibility and verification, front-office support, telehealth billing, dental billing, virtual medical assistants, and other healthcare revenue cycle management services.
- Adapt the pitch according to the prospect's practice type, current billing process, existing service provider, operational challenges, and level of interest.
- Explain the potential value of SysMD's services, including reducing administrative workload, improving revenue cycle efficiency, addressing billing issues, following up on outstanding receivables, and supporting better collections.
- Communicate the value of SysMD's services without making final pricing, contractual, technical, compliance, or operational commitments.
- Maintain a professional, persuasive, and client-focused communication style.
3. Requirement Discovery, Pain-Point Identification, and Solution Hook
- Ask relevant discovery questions to understand the prospect's medical practice, specialty, current billing setup, existing challenges, and potential service requirements.
- Identify pain points related to medical billing, claim denials, rejected claims, outstanding accounts receivable, delayed payments, coding, credentialing, insurance verification, administrative workload, staffing challenges, or other revenue cycle management processes.
- Understand the prospect's current billing process, whether billing is handled internally or through another billing company, their level of satisfaction with existing arrangements, and their willingness to explore alternatives.
- Understand the prospect's current billing provider or internal process, major concerns, decision-making process, urgency, and willingness to discuss potential solutions.
- Connect the prospect's challenges with relevant SysMD services and position the solution in a practical, business-friendly manner.
- Create enough interest for the prospect to continue the discussion with the Business Development team.
4. Lead Qualification and Business Development Handoff
- Assess the prospect's interest level, practice relevance, service requirements, business potential, and readiness for a detailed discussion.
- Identify whether the lead should be followed up, nurtured, or handed over to the Business Development team.
- Schedule meetings, discovery calls, consultations, or other appropriate discussions with interested and qualified healthcare prospects for the Business Development team.
- Share accurate lead details, practice information, specialty, current billing arrangement, pain points, requirements, objections, interest level, and next steps before handoff.
- Ensure a smooth transition from the cold-calling stage to the Business Development stage for further discussion and closing.
5. Follow-up Calling and Lead Nurturing
- Conduct timely follow-up calls with prospects who show interest but are not ready for an immediate meeting or decision.
- Reconnect with prospects based on agreed timelines, callback requests, previous call outcomes, or campaign instructions.
- Maintain consistent communication with warm or interested healthcare prospects until they are ready for handoff or further action.
- Follow up with prospects where required to confirm meetings, consultations, or discovery calls and reduce no-shows.
- Keep all follow-ups professional, organized, and aligned with the SysMD sales process.
6. Objection Handling and Call Control
- Handle common objections professionally, including lack of interest, no current requirement, satisfaction with an existing billing company, preference for in-house billing, budget concerns, requests for more information, or unwillingness to change the current billing arrangement.
- Keep conversations focused, respectful, and goal-oriented while attempting to create genuine interest in SysMD's services.
- Use approved scripts, talking points, service information, and objection-handling guidelines while maintaining a natural speaking style.
- Identify whether an objection is genuine, temporary, or an opportunity for future follow-up.
- Escalate interested, serious, or complex conversations to the Business Development team instead of attempting to close independently.
7. CRM Updates, Reporting, and Internal Coordination
- Maintain accurate records of calls, responses, lead status, follow-up dates, practice information, requirements, objections, and important conversation notes.
- Update CRM, Google Sheets, Microsoft Excel, or any assigned lead management system regularly and accurately.
- Categorize leads properly based on call outcome, interest level, medical specialty, service requirement, follow-up status, and handoff status.
- Coordinate with the Lead Generation team regarding lead quality, incorrect data, duplicate leads, unreachable contacts, target specialties, response trends, and campaign feedback.
- Coordinate with the Business Development team to ensure interested and qualified healthcare prospects are properly handed over and no opportunity is missed.
- Achieve assigned daily, weekly, and monthly targets for calls, connected calls, follow-ups, interested prospects, qualified leads, and meetings scheduled.
- Continuously improve call quality, pitch delivery, objection handling, healthcare-industry knowledge, appointment-setting performance, and conversion rate through feedback and practice.
Requirements:
- 1 to 3 years of relevant experience in cold calling, outbound sales, appointment setting, telemarketing, sales development, or international client communication.
- Experience calling international prospects, preferably in the U.S., U.K., Canada, Australia, or other English-speaking markets.
- Prior experience in medical billing, healthcare BPO, revenue cycle management (RCM), healthcare services, medical practice outreach, or U.S. healthcare sales will be strongly preferred.
- Experience converting qualified leads into interested prospects, scheduled meetings, consultations, or sales opportunities.
- Familiarity with working on provided lead lists, calling campaigns, follow-up sheets, CRM systems, or sales pipelines.
- Clear, fluent, and professional English speaking skills are mandatory.
- Strong pronunciation, listening ability, call handling, and conversational confidence.
- Ability to communicate professionally with physicians, practice owners, healthcare providers, practice managers, office managers, and other healthcare decision-makers.
- Ability to explain medical billing and healthcare services clearly without sounding scripted, robotic, or unnecessarily technical.
- Ability to understand the prospect's concerns, ask relevant questions, and respond professionally.
- Strong persuasion, objection handling, appointment setting, and client engagement skills.
- Strong understanding of outbound calling, sales pitching, follow-ups, lead qualification, and appointment setting.
- Ability to create interest, identify pain points, and hook prospects with relevant medical billing and revenue cycle management solutions.
- Ability to handle rejection, objections, and low-interest responses professionally.
- Ability to qualify interest and identify whether a prospect should be followed up, nurtured, or handed over to the Business Development team.
- Target-oriented mindset with the ability to meet daily, weekly, and monthly calling and meeting-setting goals.
- Basic understanding of medical billing, healthcare revenue cycle management, claims, coding, accounts receivable, denials, credentialing, and related healthcare administrative services.
- Ability to understand and discuss business needs related to medical billing, claims management, coding, denial management, AR follow-up, payment posting, credentialing, insurance verification, and other healthcare administrative services.
- Ability to connect healthcare practice pain points with relevant SysMD services in simple, business-friendly language.
- Willingness to continuously learn SysMD's services, healthcare specialties, target markets, case studies, selling points, and sales process.
- Basic working knowledge of CRM systems, Google Sheets, Microsoft Excel, or similar lead tracking tools.
- Ability to maintain accurate call records, follow-up notes, lead status, prospect information, and meeting details.
- Good attention to detail in updating lead information and sharing proper handoff notes with the Business Development team.
- Ability to work with call scripts, sales notes, lead sheets, and reporting formats.
- Confident, energetic, disciplined, and result-driven.
- Strong follow-up discipline and ownership of assigned leads.
