Job Summary

Mujtaba Clinics is hiring a Virtual Medical Assistant / Patient Coordinator to support our New Jersey medical practice remotely from Pakistan.

This is a full-time, patient-facing role focused on appointment scheduling, inbound and outbound calls, patient coordination, insurance eligibility support, fax/message follow-up, and daily office communication.

This is not an entry-level role. We are looking for someone with medical office experience, strong English communication, a smooth and easy-to-understand accent, and the ability to work in a fast-paced U.S. healthcare environment.

There is no cold calling. You will be calling existing patients from our clinic system for scheduling, follow-ups, appointment reminders, insurance updates, and other office-related communication.

Compensation

Monthly compensation is Rs. 75,000 to Rs. 100,000, based on experience, communication skills, scheduling ability, software knowledge, reliability, and overall fit.

This role has a 90-day probation period. The compensation offered at the beginning will apply during the probation period and after the first three months unless changed by management.

A possible incremental increase may be reviewed after 6 to 12 months of proven performance. Any increase is not guaranteed and depends on performance, reliability, business needs, value added, and leadership approval.

Required Schedule & Availability

This role follows the U.S. Eastern Time Zone and supports a New Jersey medical practice.

Candidates must be available within the following window:

8:45 AM to 7:00 PM Eastern Time
Approximately 5:45 PM to 4:00 AM Pakistan Time

Your assigned shift will be within this window and will generally be 8.5 to 9 hours per day, 5 days per week.

You must also be available for:

Alternate Saturdays for 4 hours
Occasional mandatory trainings
Occasional team meetings
Occasional meetings outside assigned shift hours when required

These additional meetings are limited but may happen from time to time.

English Communication Requirement

Excellent spoken English is required.

Your English must be clear, smooth, professional, and easy for U.S. patients to understand. A near-native American English accent is strongly preferred.

This role requires frequent phone communication with patients. If your accent is very thick or difficult for patients to understand, this role may not be suitable because patient communication is a major part of the job.

Strong written English is also required for patient messages, internal updates, documentation notes, appointment updates, and team communication.

Spanish Language Preference

Spanish fluency is preferred but not required.

We strongly prefer candidates who already have experience speaking with Spanish-speaking patients. However, if you are not fluent in Spanish, you must be willing to quickly learn and use basic Spanish phrases for patient scheduling, appointment confirmations, simple patient questions, and phone communication.

This role may require you to assist Spanish-speaking patients by phone, messages, and chat. You do not need to be fully fluent, but you must be comfortable learning Spanish phrases, practicing them, and using them professionally with patients.

Candidates who can speak Spanish or who show strong willingness and ability to learn useful Spanish phrases quickly will be considered stronger applicants.

Main Responsibilities

Answer inbound patient calls
Make outbound calls to existing patients
Schedule appointments
Reschedule appointments when appropriate
Confirm appointments
Follow up with missed appointments and patient callbacks
Call existing patients from clinic lists
Help fill provider schedules
Communicate clearly with patients about appointment needs
Support Spanish-speaking patients when possible
Check insurance eligibility
Identify insurance issues before appointments
Update patient information
Monitor patient messages
Monitor and reconcile faxes
Escalate urgent patient or provider matters
Support prior authorization follow-up when trained
Assist with CoverMyMeds tasks if experienced
Document call outcomes clearly
Update internal logs
Communicate with front desk, providers, and management
Stay connected on Zoom during the shift as required
Complete daily updates before shift end

This is a fully remote role, but your setup must be professional.

All virtual staff are connected to the office and virtual team during the shift. You must be available on Zoom throughout the shift with camera on as required by management.

Any breach of confidentiality may result in immediate termination.

You must be easy for U.S. patients to understand on the phone and comfortable working Pakistan evening/night hours.
