Full job description

Key Responsibilities

  • Manage end-to-end company vehicle operations including vehicle allocation, scheduling, maintenance, fuel management, documentation, and compliance records
  • Maintain vehicle records including registration, insurance, fitness certificates, and driving documentation
  • Coordinate transportation arrangements for employees, management, and official requirements
  • Ensure proper monitoring and utilization of company vehicles and drivers
  • Manage security staff operations including deployment, attendance, discipline, and performance monitoring
  • Coordinate with security service providers and ensure implementation of security protocols
  • Handle vendor relationship management including vendor coordination, service quality monitoring, quotations, and agreements
  • Maintain professional relationships with external service providers and contractors
  • Manage daily office administrative activities including facilities, maintenance, stationery, housekeeping, and office support services
  • Coordinate with government departments and regulatory bodies including:
  • WAPDA WASA SNGPL Labour Department EOBI Other Government Authorities
  • Handle official documentation, approvals, correspondence, and follow-ups with government departments
  • Maintain administrative records, reports, and documentation systems
  • Support HR and management in administrative policies implementation
  • Assist in organizing company meetings, events, and official arrangements
  • Ensure compliance with company policies, safety standards, and administrative procedures

Required Skills & Knowledge

  • Strong knowledge of office administration and facility management
  • Hands-on experience in vehicle/fleet management
  • Experience in security staff handling and coordination
  • Strong vendor management and negotiation skills
  • Good understanding of government department procedures and documentation
  • Proficiency in MS Office (Excel, Word, PowerPoint)
  • Strong reporting and record-keeping abilities
  • Excellent communication and coordination skills

Qualification

  • Bachelor’s Degree in Business Administration, Management, or relevant field

Additional Requirement

  • Valid Driving License is mandatory
  • Ability to travel for official tasks and government visits when required

Experience

  • 2–5 years of relevant experience in Administration, Facility Management, or Office Operations
